PropertyDesk · for property firms

The enquiry came in at nine on a Sunday, and the other agent answered first.

PropertyDesk answers the phone, the portal and the WhatsApp thread the moment they land, qualifies properly, books the valuation or the viewing, triages the eleven-o-clock leak into a real work order, and writes all of it back into the system you already run. Three configurations, because a sales agency, a letting agent and a block manager are not the same business. Set up and run for you.

Answering calls for property firms every day.

The guarantee

It books, or your first month is free.

One month up front, no setup fee. If it has not booked you a single appointment in thirty days, we refund that month in full and you never pay a setup fee at all.

Run for you

Nothing about how you work changes.

You keep your number, your diary and your CRM. There is no software to learn and no dashboard to babysit. We build it, connect it, watch it and tune it, and send you a weekly note of what it caught.

Done properly

It never values, never adjudicates, never decides about a person.

It books the valuer rather than naming a figure. It will not interpret a lease or rule on a service charge. It never scores an applicant or decides right to rent, and every caller is told plainly that it is an assistant.

What PropertyDesk runs

Everything below is included, from day one.

Four jobs, and the same rule under all of them: it answers, it qualifies, it books or raises the work order, and then it writes back. An assistant that answers beautifully and leaves your system untouched has only moved the admin, not removed it.

01

Speed to lead

The portal enquiry becomes a viewing, not a voicemail.

A portal enquiry has a shelf life measured in minutes, and the agent who replies first usually gets the instruction. Yours is called and texted inside the minute, asked whether they are buying or selling, and asked the questions that matter: area, budget, timing. Your negotiator arrives already knowing who they are meeting.

Who it’s for
Sales and letting agents whose enquiries arrive at 9pm on a Sunday.
What you get
Viewings in the diary instead of enquiries in a queue.

How it runs

How Speed to lead runsStep 1: Enquiry lands, Rightmove, Zoopla, your site, at 9pm on a Sunday. Step 2: Called and texted, inside the minute, while they are still looking. Step 3: Qualified, buying or selling, area, budget, timing. Step 4: Booked or transferred, hot ones go straight to the negotiator. Step 5: Written back, applicant, call note and appointment, on the record.1Enquiry lands

Valuation and instruction intake

The market appraisal booked, never guessed at.

It captures the address, beds, tenure, motivation and timeline, and then books the valuer. It never states a figure, and that is deliberate: the appraisal is your business and a number given by an assistant is a liability. For letting agents the same workflow captures the landlord instruction: portfolio size, management level, address.

Who it’s for
Agencies whose highest-value call is the one asking what a house is worth.
What you get
The appointment that starts every instruction, in the diary.

How it runs

How Valuation and instruction intake runsStep 1: They ask what it is worth, the highest-value call you take. Step 2: Details captured, address, beds, tenure, motivation, timeline. Step 3: Never priced, it books the valuer, it does not value. Step 4: Appraisal booked, against the right diary. Step 5: Valuer briefed, before the doorstep.1They ask what it is worth

Maintenance triage to work order

The 11pm leak reaches the right person, not your voicemail.

A tenant or leaseholder reports a problem and gets an answer, not a voicemail beep. It identifies the unit, takes a structured report, asks for photos over WhatsApp, and works out how urgent it really is. A genuine emergency reaches the on-call manager and contractor immediately; a dripping tap becomes a logged work order. Both tenant and landlord are kept informed, which is most of what they wanted.

Who it’s for
Letting and block managers carrying the out-of-hours phone.
What you get
Your evenings back, and a work order raised rather than a message taken.

How it runs

How Maintenance triage to work order runsStep 1: Reported, at eleven at night, as it always is. Step 2: Unit identified, and the tenancy verified. Step 3: Photos requested, over WhatsApp, on the same thread. Step 4: Urgency judged, a flood is not a dripping tap. Step 5: Work order raised, in Fixflo, Arthur or Reapit, with status. Step 6: Both sides told, tenant and landlord, until it is closed.1Reported

Tenant and leaseholder services

The same four questions, answered without a manager.

Verified tenants and leaseholders get their balance, the due date, how and where to pay, and answers to tenancy or block questions taken from your own documents. It reads only what is already on an issued demand. It will not interpret a lease, confirm a charge is reasonable or payable, waive a fee, or settle a dispute, because those are not an assistant’s to decide.

Who it’s for
Managers whose week is balance queries and "when is the roof being done".
What you get
The repetitive calls gone, and the manager back on real work.

How it runs

How Tenant and leaseholder services runsStep 1: They call, about the balance, again. Step 2: Authenticated, by unit and reference, before anything is said. Step 3: Answered, from the issued demand and your own documents. Step 4: Never adjudicated, no lease interpretation, no fee decisions. Document chasing and compliance workflow

References, deposits and certificates chased until they land.

Somebody has to keep asking for the reference, the deposit, the signed copy, the certificate that expires next month. It asks, politely and repeatedly, files what comes back where you can find it, and tells you before a deadline passes rather than after. Nothing expires quietly.

Who it’s for
Lettings and block management teams whose deadlines do not move.
What you get
Deadlines that are met, and no unpleasant surprises.

How it runs

How Document chasing and compliance workflow runsStep 1: Paperwork needed, reference, deposit, signature, certificate. Step 2: Chased, politely, and more than once. Step 3: It lands, and is filed where you can find it. Step 4: Deadline approaching, you are told before, not after. Step 5: Nothing expires quietly, which is the whole point.1Paperwork needed

Done properly

No scoring of applicants or tenants, and a lawful basis before every message.

Property is a regulated business and the rules are not decoration. Nothing we run scores, ranks or judges an applicant or a tenant: people keep the judgement, the assistant keeps the admin. Every automated message says plainly that it is automated, consent is checked before any marketing message, and each agent carries its own hard limits rather than relying on one general instruction to behave.

How we keep it lawful
We never score or rank a person
Not applicants, not tenants, not buyers. Software that judges people drags its operator into a category of legal exposure we design out entirely. Qualifying an enquiry means asking the questions you would ask; it never means rating the human being.
It never values, and it never adjudicates
It books the valuer rather than naming a figure. It will not interpret a lease, confirm a service charge is reasonable or payable, waive a fee, advise on Section 20, or settle a dispute. Those are tribunal territory and a manager’s judgement, so they are simply not in the assistant’s instructions.
Right to rent stays a human decision
The assistant flags the document check as a step for a person and never decides it. It does not accept an offer above the advertised rent, and it never touches client money.
Your customers always know it is an AI
Disclosed plainly, in the first message. Anything lost, legal or angry goes to a human rather than a second guess, and every conversation is transcribed and logged.

Typical timeline

Answering your calls within days, not weeks.

PropertyDesk runs on three rungs: Core £299 a month, Growth £599, Premium £999, each with a one-time setup fee. Everything in your rung is included, and you can cancel with 30 days’ notice.

Three businesses, not one

Same platform. Three very different jobs.

A sales agency lives on speed to lead and the valuation. A letting agent lives on the maintenance call and the landlord who is deciding whether to stay. A block manager lives on the same four service-charge questions, asked five hundred times. Same spine underneath, configured three ways, each with its own hard limits.

Core to Growth

AgentDesk

Residential sales agencies, one to three branches, with real portal spend.

Why they buy: Most valuation opportunities are missed, and most portal enquiries land outside office hours. The enquiry has a shelf life measured in minutes, and the agent who answers first usually gets the instruction.

  1. S1Speed to leadA portal or website enquiry fires a trigger, and it is called and texted inside the minute: buying or selling, area, budget, timeline.
  2. S2Valuation bookingAddress, beds, tenure, motivation and timeline captured, then the market appraisal booked. It is the highest-value appointment in the business.
  3. S3Viewing bookingBooked against the negotiator diary and vendor availability, reminded the day before and two hours out, with feedback collected afterwards.
  4. S4Out of hours and overflowAnswers what the branch cannot, qualifies it, books it, and logs it for the morning.

The hard limit · It never states a valuation figure: it books the valuer. No steering on viewings. Redress-scheme conduct applies to every word it says.

Growth

LetDesk

Independent letting agents and property managers, typically 200 to 600 managed units, often five staff or fewer.

Why they buy: The after-hours maintenance emergency, and the landlord churn that follows a slow response. Most are already paying for a human answering service that can only take a message.

  1. L1Tenant enquiry and viewingThe same questions asked of everyone, in the same order, then the viewing booked. Identical for all, by design.
  2. L2Landlord enquiryA new instruction captured: portfolio size, management level, address, then routed to the valuer or the business developer. This is the growth workflow.
  3. L3Maintenance intake to work orderTenant and unit identified, a structured report taken with photos, emergency separated from routine, the work order raised, and the loop closed to tenant and landlord both.
  4. L4Tenant servicesVerified tenants get their rent balance, how and where to pay, and tenancy questions answered from your own documents.

The hard limit · It never decides right to rent: it flags the document check as a human step. It never accepts an offer above the advertised rent, and it never touches client money.

Premium

BlockDesk

Block and leasehold managing agents, roughly 1,000 to 5,000 units.

Why they buy: The same service-charge and repair calls, over and over, and the manager burnout that follows. Turnover of managers is a standing complaint at board level.

  1. B1Leaseholder servicesAuthenticated by unit and reference, then given the balance and due date already on their issued demand, how to pay, and block information from your own documents.
  2. B2Communal repair intakeLift, lighting, roof, door entry: location and description captured with photos, emergency separated from routine, work order raised, on-call alerted.
  3. B3Complaint loggingLogged formally into your redress-compliant process, with the timescale confirmed to the caller.
  4. B4Major works and Section 20Procedural questions only: which stage, what deadline. Every question of substance goes to the manager.

The hard limit · The never-adjudicate line. It must not interpret the lease, confirm a charge is reasonable or payable, waive a fee, advise on Section 20, or resolve a dispute. It states only figures already on an issued demand.

How it is actually built

Nine assistants with one job each, not one that claims to do everything.

A narrow assistant is more reliable than a clever one. Each of these has its own instructions, its own slice of your documents, its own hard limits and its own measurable job, so when something goes wrong you know exactly which one did it and exactly what to change. Voice, WhatsApp, text, web chat and email are the ways in; they are not separate assistants. One brain, many mouths.

Six of the nine run in more than one package. That reuse is why one platform can carry three products without any of them being a compromise.

One agent, one job

Narrow prompt, narrow knowledge, narrow tools. If its job needs more than one sentence, it is two agents.

The router owns every handoff

Agents never hand off to each other directly. Every handoff goes back through the router carrying the full transcript, so nothing is dropped or summarised away.

Guardrails live with the agent

Not in one global instruction. The maintenance agent cannot quote a valuation because that instruction is not in it. That is a safety property, not a style choice.

Confidence, not guesswork

Sure: act. Unsure: exactly one clarifying question. Lost, legal or angry: a human. It never guesses twice.
